Veriphyit Privacy Notice
This notice describes information handled through Veriphyit, its member application and customer-operated campaigns.
Information handled
Accounts and support. We handle account names, email addresses, password hashes, membership levels and expiry dates, login records, records of the terms version and eligibility declaration you accept, and information you provide when contacting support. Account features may also store course progress, notes, business profiles and AI conversation history.
Campaigns and visitor submissions. Depending on the campaign a customer enables, the service can handle campaign content, website domains, event and interaction records, names, email addresses, callback phone numbers, survey responses, referral identifiers, customer quotes, ratings and uploaded audio/video. Approved testimonials and other customer-selected material can be displayed publicly on that customer's website. Do not submit information you do not want the campaign operator to receive.
Technical information. The application uses session identifiers and records certain login and activity information. Some referral records contain hashed IP information. Technical processing may also involve browser and request information. Pages may load external fonts, icons, scripts and media resources. Some worksheets and tools save progress or preferences in your browser storage.
Purchases. Paid checkout is not currently open. If enabled, payment integrations can provide transaction identifiers, purchase and refund status, product details, amounts and purchaser contact information used to assign membership access. Any future checkout will identify the payment provider and provide its applicable privacy information.
Why information is used
Information is used to provide account access, operate customer campaigns, display authorized content, record campaign activity, administer membership access, provide support, maintain backups and investigate security or service problems. Information supplied to an optional integration is also used to carry out the action requested through that integration.
Customer-operated campaigns
When you interact with a campaign on another website, that website's operator chooses its campaign content, collection fields and connected services. Review that operator's privacy information and contact it about its use of your submission. Veriphyit hosts and processes campaign information to provide the service. Contact Veriphyit if you need help identifying the relevant account or addressing information stored by the service.
Providers, integrations and public content
Veriphyit uses ScalaHosting for hosting. Hosting and email services process information needed to operate Veriphyit. Database backup copies are stored on the server and are also emailed to an operator-controlled Gmail account under the configured backup schedule.
Customer-enabled integrations may transmit selected submissions to email services, webhooks or other configured destinations. The current AI implementation sends submitted prompts and relevant content to Anthropic's API. Customers should review the provider's terms and avoid sending unnecessary personal or sensitive information. Campaigns using YouTube or Vimeo media can load their players and related resources, which may receive request information. Other third-party website resources may also receive request information when loaded.
Material selected for public display may be visible to website visitors. We may disclose information when required by law or reasonably necessary to investigate misuse, protect the service or establish or defend legal claims. We limit such disclosures to information relevant to that purpose. We do not sell customer or visitor data or share it for advertising, and we do not use outside advertising or analytics trackers. This does not exclude the service providers, customer-enabled integrations, campaign measurements or public content described in this notice. External fonts, icons and media resources may receive request information when loaded.
Retention and deletion
Account expiry reduces available features; it does not automatically erase saved data. Deletion of an account with owned content, stored media or payment entitlements requires separate review. Deleting a live record does not immediately remove existing backup or downloaded copies.
The current local database backup setting is 14-day retention. Uploaded videos currently have no automatic age-based expiry configured. Separately retained deployment snapshots, downloaded archives and emailed backup copies have different retention paths. The 14-day setting does not apply to every copy or establish a universal deletion deadline. We assess retention according to whether information is still needed to provide an active account or campaign, resolve a support request or dispute, maintain recovery copies, prevent misuse or meet a legal recordkeeping obligation. Account and campaign information is reviewed when deletion or closure is requested. Security, transaction and agreement records may need to be retained separately to investigate misuse, establish the terms accepted or address disputes and legal obligations. Backup copies are restricted to recovery and related protection of the service; they are reviewed separately when handling a deletion request. We do not treat indefinite retention as necessary merely because storage is available.
Requests and choices
We monitor support@veriphyit.com and handle support and privacy/deletion requests. Contact that address to request access, correction or deletion, or to ask about a campaign submission. Include enough context to locate the relevant account or campaign, but do not email passwords or unnecessary sensitive information. We may need to verify the requester's identity and authority before acting. Rights and exceptions depend on applicable law; we handle requests according to the requirements that apply to the request.
Security and location
The application uses authenticated access, account permissions and protected backup storage. No service can promise absolute security. Veriphyit is operated from the United States and uses third-party providers to operate the service. This notice does not promise that all information remains in the United States.
Children and changes
Veriphyit accounts are intended for adults at least 18 years old who can legally enter the service agreement where they live. The service is not intended to be directed to children under 13. Customers may not use Veriphyit to knowingly collect personal information from children under 13 or upload their personal information, images or recordings.
If you believe a child under 13 has provided personal information through Veriphyit, contact support@veriphyit.com with the relevant website or campaign details. Do not include additional sensitive information unnecessarily. Veriphyit will review the report and take appropriate steps to address the information and applicable obligations. Payment acceptance is not proof of age or parental consent.
We date updates to this notice and provide appropriate notice of material changes. Where required, we obtain permission before using previously collected information for a new incompatible purpose.
